The operational problem with WhatsApp in a manufacturing business is not the channel. It is that the channel lives on one person's personal phone. The RFQ that arrived as a photo is in a chat nobody else can see. The price a salesperson agreed in a message is not on the quote. When that person leaves, the customer relationship leaves with the handset.
Connecting WhatsApp as a workspace channel fixes the ownership problem first and the convenience problem second. Threads belong to accounts, messages sit on the customer 360 next to the RFQs and quotes they produced, and any assigned person can pick up a conversation without asking a colleague to forward a screenshot.

How the channel works
Meta rules you have to live with
WhatsApp Business is not email, and any vendor who tells you otherwise has not run a WABA account. These are the constraints and how the workspace handles each.

We handle template submission and keep the approved set in the workspace. What we cannot do is make Meta approve a template faster or waive a conversation charge, and we will not pretend either is possible.
Billing
Meta pass-through plus a published markup
Message costs are a pass-through with a markup we print rather than a flat bundle you cannot reconcile.

We warn in-app at 80 percent of your included allowance and hard-block at 100 percent. Nothing silently rolls into an overage bill you did not choose. Full detail is on the WhatsApp billing page.
Boundaries
What we will not do on this channel
- We do not send a quote without a person pressing send
- We do not auto-reply to a technical question with a generated answer
- We do not scrape or import a personal WhatsApp account — this is the official Business API
- We do not hide the Meta conversation cost inside a flat fee you cannot audit
- We do not message a contact who has not opted in
What this is not
This is not an ERP, MRP, CAD, BOM, or advanced CPQ system — it manages customer RFQs, quotes, follow-ups, and order handoff.
Setup
What connecting a number involves
Plan half a day, spread across two or three days of Meta review.
You need a phone number that is not currently registered to a personal WhatsApp account, a Meta Business account, and a business verification — usually your registered entity documents and a website that matches. Meta reviews the business once. After that the number is live in the workspace.
Then you submit your templates: quote sent, follow-up day three, follow-up day seven, order confirmed, ship date changed. Five templates cover most of a manufacturing workflow. Each is reviewed by Meta, usually within hours. We submit them for you during onboarding, which is included on Professional and Enterprise.
Opt-in is the piece shops most often get wrong. Add a WhatsApp opt-in checkbox to your web enquiry form and to the quote acceptance page, and record it. A buyer who messages you first has opted in by that act, which covers most inbound RFQ traffic.
Questions about WhatsApp for manufacturers
Two reasons, and neither is about domestic habit. First, if you buy from or sell to plants outside the US — a contract customer in Mexico, a supplier in India, a distributor in the Gulf — WhatsApp is frequently the only channel that gets a same-day answer. Second, plant-floor contacts everywhere increasingly answer a phone message and ignore email. If none of that describes your buyers, use the email hub and leave WhatsApp switched off.
