Legally valid quote acceptance via Aadhaar eSign

Turn 'approved, go ahead' in an email thread into a signed document with an audit trail, without printing, scanning or couriering anything.

For USA manufacturers with India operations, India-based contract customers, or manufacturers exporting to India.

In short

Aadhaar eSign lets an Indian buyer sign a KanchanFlow quote from its share link and produces a legally valid electronic signature under India's IT Act. The signed document, signer identity, timestamp and audit trail attach to the exact quote revision that was accepted, inside the RFQ-to-Order CRM rather than a separate signing tool.

What it is

Acceptance evidence is where quote-to-order disputes start. An email saying 'go ahead' is not a signature, a scanned and couriered PO takes a week, and a third-party signing tool leaves the signed PDF in a system your CRM cannot see. When the customer later disputes a price or a quantity, you are reconstructing the story from a mailbox.

With Aadhaar eSign, the buyer opens the quote share link, signs through the OTP flow against their Aadhaar-linked identity, and the signed document is written back onto the quote revision. What was signed, who signed it, and when, all live on the record the order is created from. There is no separate signing system to reconcile against afterwards.

Capabilities

What it does

Sign from the quote share link

No account, no app install and no separate signing portal. The buyer opens the same browser link they were already reviewing and signs from it.

Signature bound to a specific revision

The signature attaches to Rev 3, not to 'the quote'. If a Rev 4 is later issued, the earlier signed revision stays intact with its own signed document.

Signer identity and timestamp on the record

The signing party's name as returned by the eSign flow, the timestamp and the transaction reference are stored on the quote. That is the evidence you need eighteen months later.

Signed PDF stored against the quote

The signed document is kept with the quote and carries forward to the order created from it, so the acceptance evidence travels with the commercial record.

Falls back to recorded acceptance

Where eSign is not appropriate, the share link still records who accepted, when, and from where. You are never forced into a signing flow that does not fit the deal.

Step by step

How it works

The order these steps happen in matters more than the feature list above it.

  1. 1

Send the quote as a share link

The buyer receives a browser link rather than an attachment. They can review lines, drawings and terms before anything is signed.

  2. 2

    Buyer chooses to sign

From the share view they start the eSign flow. The document presented for signature is the exact revision they are looking at.

  3. 3

    Identity verification and OTP

The signer authenticates through the Aadhaar eSign OTP flow with the licensed e-sign service provider. We do not see or store Aadhaar numbers.

  4. 4

    Signed document returns

The signed PDF, signer name, timestamp and transaction reference come back and are written onto the quote revision.

  5. 5

    Convert to an order

The quote is marked accepted and can be converted to an order. The signed document stays linked to the order for the life of the job.

What this is not

This is not a general contract management system — it signs quotes and their revisions, not NDAs, MSAs or supplier agreements.

This is not an ERP, MRP, CAD, BOM, or advanced CPQ system — it manages customer RFQs, quotes, follow-ups, and order handoff.

Questions about aadhaar esign

Yes, under India's Information Technology Act, when executed through a licensed e-sign service provider. We integrate with that provider rather than acting as one ourselves.
