In short
GSTIN validation in KanchanFlow checks an Indian tax registration against the registry and writes the registered legal name, state, registration type and current status onto the customer or vendor record. Because the state code drives place-of-supply logic across the RFQ-to-Order CRM, validating early prevents wrong tax treatment on every later document.
What it is
A GSTIN is not just an identifier on the invoice header. Its state code decides whether a supply is intra-state or inter-state, which decides whether you charge CGST and SGST or IGST. Enter it wrong and every invoice to that customer is wrong in the same way, usually until their accounts team notices and stops paying.
Validation happens when the party is created and can be re-run at any time. It returns the legal name as registered, the state, the type of registration and whether it is active, cancelled or suspended. Those facts sit on the record where the quoting and invoicing logic reads them. Validating early is a two-minute step that prevents a repeating error.

What it does
Registry lookup on entry
Type a GSTIN on a customer or vendor and the registered legal name, trade name, state and registration date come back. A mistyped digit fails immediately rather than three invoices later.
Status checks for cancelled and suspended registrations
The record shows whether the registration is active, cancelled or suspended. Supplying to a cancelled registration is a problem you want to find before the goods move.
Legal name match against your record
If the registered legal name does not match the customer name you typed, the mismatch is flagged. That is usually a sign you have the wrong entity in a group.
State code feeding place-of-supply logic
The validated state code becomes the input to CGST, SGST and IGST decisions on every quote and invoice for that party, so the treatment is consistent by construction.
Re-validation on demand
Registrations change. Re-run validation on a party at any time, and the record keeps the date it was last checked so nobody has to guess how stale it is.

How it works
The order these steps happen in matters more than the feature list above it.

Enter the GSTIN on the party
Add the fifteen-character registration to the customer or vendor record. Format is checked locally before any lookup is attempted.

Run the lookup
The registration is checked against the registry through your connected provider, and the response is stored on the record with a timestamp.

Review the returned facts
Registered legal name, trade name, state, registration type, date of registration and current status are shown. Mismatches against your own record are highlighted.

Accept or correct
Accept the registered legal name onto the party, or correct the GSTIN if you have the wrong entity. The state code is written to the record either way.

Re-check when it matters
Before a large order, or on a periodic review of your customer base, re-run validation. The record shows the last-checked date so you know what you are trusting.
What this is not
This is not a credit check — a valid, active GSTIN tells you the registration exists, not that the customer pays their bills.
This is not an ERP, MRP, CAD, BOM, or advanced CPQ system — it manages customer RFQs, quotes, follow-ups, and order handoff.
